1. Scope & Identity

These General Terms and Conditions apply to all reservations and agreements made with Hillside Hospitality BV via our website, email, or third-party platforms (unless the platform’s terms supersede these).

2. Booking & Payment Terms

A reservation is only final once confirmed by Hillside Hospitality and the required down payment has been received.

2.1. Payment Schedule

  • Down Payment: A payment of 50% of the total rental price is due immediately upon booking to secure your reservation.
  • Balance: The remaining 50% must be paid no later than 14 days before the start of the stay.
  • Late Booking: For bookings made within 30 days of arrival, the full rental amount (100%) is due immediately.

2.2. Security Deposit

A refundable security deposit of €1,500 is required to cover potential damages or exceptional cleaning costs.

  • Payment: Must be paid prior to check-in (as per the instructions in your booking confirmation).
  • Refund: The deposit will be refunded within 14 days after check-out, provided no damage or breach of house rules is found.

3. Cancellation Policy

If you wish to cancel your booking, the following refund tiers apply based on the date we receive your written cancellation request:

  • More than 60 days before arrival: 100% refund of the amount paid
  • Between 60 and 30 days before arrival: 50% refund of the total rental price
  • Less than 30 days before arrival: No refund (0%). The full rental amount remains due

Note: If you booked via a third-party platform (e.g. Airbnb, Booking.com), that platform’s specific cancellation policy takes precedence.

4. Arrival & Departure (Check-in / Check-out)

Strict adherence to these times is necessary to allow our cleaning team to prepare the luxury experience for the next guests.

  • Check-in: From 17:00 (5:00 PM) onwards.
    Access is provided via an electronic code or a personal greeting.
  • Check-out: No later than 14:00 (2:00 PM).
    Late check-out may result in additional fees unless explicitly agreed upon in writing.

5. House Rules & Conduct

By booking, you agree to adhere to our House Rules. The main points are summarized below.

5.1. Occupancy

  • Maximum Capacity: The number of guests may not exceed the capacity stated for your specific property (e.g. Le Sable, Barabois, L’Apostrof).
  • Camping: Tents, campers, or motorhomes in the garden are strictly prohibited.

5.2. Respect & Safety

  • Smoking: Strictly prohibited indoors. Smoking is allowed on the terrace using designated ashtrays.
  • Pets: Pets are not allowed in any of our properties.
  • Quiet Hours: Please respect our neighbors. Silence is required between 22:00 (10 PM) and 08:00 (8 AM). No amplified music outdoors.
  • Fire Safety: No open fires outdoors (except in designated BBQ or fire pit areas). Deep frying indoors is prohibited.

5.3. Check-out Condition

Guests must leave the property “broom clean.” This includes:

  • Dishes washed and stored
  • Waste sorted and placed in the correct bins
  • Bed linen stripped and gathered
  • Furniture returned to its original position

6. Liability

  • Guest Liability: You are responsible for any damage to the property, furniture, or inventory caused by you or your party during the stay. Costs for repairs or replacement exceeding the security deposit will be billed to you.
  • Theft / Loss: Hillside Hospitality is not liable for theft, loss, or damage to personal belongings of guests during their stay.
  • Third-Party Services: We are not liable for disruptions caused by external service providers (e.g. power outages, internet service provider failures) unless due to our negligence.

7. Additional Services (Packages)

For Premium, Signature, or Business packages involving third-party services (e.g. Private Chef, Brewery Visits):

  • Dietary Requirements: Guests are responsible for communicating allergies in advance.
  • Availability: Services are subject to availability and must be confirmed in writing.

8. Force Majeure

If Hillside Hospitality is forced to cancel the booking due to unforeseen circumstances beyond our control (e.g. fire, flood, government-imposed lockdowns), we will refund 100% of the rental amount paid.

We are not liable for any additional travel costs or consequential losses incurred by the guest.

9. Privacy

We process your personal data in accordance with our Privacy Policy [link to Privacy Policy]. This includes the use of security cameras (if applicable) and the retention of guest register data for police authorities.

10. Governing Law & Jurisdiction

These terms are governed by Belgian law. In the event of a dispute that cannot be resolved amicably, the courts of the judicial district of Ghent (East Flanders) shall have exclusive jurisdiction.
